Summary

 

The role aims to contribute to the operational execution and monitoring of procurement, sales, and sourcing processes related to SmartFleet activities (including Topcon and other suppliers within the SmartFleet ecosystem). The SmartFleet Operations Officer will focus on providing support in the administrative management of supplier contracts associated with SmartFleet activities, ensuring compliance with contractual commitments from a systems perspective.

They will also take part in integrating SmartFleet processes into BIA’s standard IT solutions, including our ERP system (SAP) and C4C. Additionally, they will support the implementation of stock management policies and practices related to SmartFleet activities, in alignment with group standards.

The SmartFleet Operations Officer will be responsible for assisting and coordinating “Operation Support” requirements during a potential transition of SmartFleet activities to an independent entity outside the BIA structures, while keeping their supervisor informed of any significant deviations.
 

What will be your responsibilities?

 

Operational:

  • Contribute to the operational execution and monitoring of procurement/sales processes related to SmartFleet activities.
  • Prepare and send purchase orders to ensure accurate and timely delivery.
  • Track delivery timelines confirmed by suppliers to ensure they are respected.
  • Collaborate with suppliers to negotiate improved delivery timelines for ordered parts, particularly those in shortage or on backorder.
  • Coordinate with logistics for the shipment of orders.
  • Assist in creating and updating missing items in SAP and in the entire contract creation flow to establish a P&L.
  • Monitor stock levels (minimum and maximum) for SmartFleet and proceed with necessary replenishments from designated suppliers under the supervision of the sales team.

 

Administrative:

  • Update delivery timelines in the ERP based on information provided by suppliers.
  • Follow up on pending orders (backorders) with suppliers.
  • Verify deliveries against supplier invoices and record allocations in the ERP.
  • Support order administration and supplier follow-up to ensure the smooth operational functioning of the department.
  • Build strong relationships with suppliers and monitor pending orders with their representatives.
  • Track supplier payment deadlines and notify the accounting team of any discrepancies.
  • Regularly communicate the status of orders (parts) to the sales department.
  • Prepare price quotations in collaboration with the SmartFleet teams.
  • Provide monthly reporting on orders, quotations, stock levels, and other indicators based on a predefined format provided by the line manager.
  • Handle the transmission of administrative documents during shipments.
  • Contribute to the administrative follow-up of supplier contracts related to SmartFleet activities.

 

Other Responsibilities:

  • Contribute to the completion of any other tasks related to the role.
  • Participate in the management of compliance aspects related to the sale or resale of web applications, either directly or through subsidiaries.
  • Support the integration of processes associated with SmartFleet activities into BIA’s standard IT solutions, including the ERP SAP and C4C.
  • Monitor the progress of projects related to SmartFleet solutions in coordination with the group’s subsidiaries.
  • Assist in tracking warranty cases in collaboration with suppliers, clients, and other stakeholders.
  • Contribute to the creation, follow-up, and documentation of supplier and client information in SAP.
     

Who are we looking for?

 

Experience and Education

  • Degree holder in Supply Chain, Logistics, Business Management or equivalent with a specific focus on procurement.

  • At least 1 year of experience in a similar role (experience in the relevant sector is a plus).

  • Proficiency in MS Office and experience with an ERP system, ideally SAP.

  • Excellent written and verbal communication skills.

  • Ability to demonstrate clarity and responsiveness in professional situations.

 

Other:

  • Proficiency in office tools, particularly Excel.
  • Active knowledge of both English and French.
  • Ability to build strong partnership relationships with suppliers.
