Summary
To coordinate and optimize daily facility and maintenance operations across Belgian sites, ensuring a safe, compliant, and efficient working environment aligned with Group standards.
What will be your responsibilities?
Ensure reliable, compliant, and efficient multisite facility operations across Belgium by coordinating infrastructure, services, and stakeholders.
A. Facilities Management and Multisite Operations
- Supervise the operation of buildings and technical installations across the five sites.
- Manage preventive and corrective maintenance activities in compliance with internal procedures.
- Carry out regular infrastructure inspections and follow up on corrective actions.
- Ensure optimization and availability of workspaces in line with operational needs.
- Provide operational supervision of the handyman (work planning, etc.).
B. Management of Contractors and Outsourced Services
- Coordinate external service providers: technical maintenance, cleaning, security, waste management, grounds maintenance, etc.
- Ensure compliance with contractual commitments, SLAs, and Group quality standards.
- Monitor service requests, quotations, and required operational validations.
C. Employee Support and Service Quality
- Act as the Facility point of contact for all staff across the five sites.
- Handle internal requests via dedicated tools (ticketing, email, internal platforms).
- Ensure a high level of user satisfaction is maintained.
D. Compliance, Safety, and Legal Requirements
- Contribute to compliance with Belgian legal obligations (fire safety, periodic inspections, electrical compliance, etc.).
- Participate in the implementation of safety, evacuation, and access control procedures.
- Collaborate with HSE teams and external partners on all regulatory matters.
E. Administrative Management, Reporting, and Budget Monitoring
- Maintain up-to-date technical documentation, registers, and regulatory reports.
- Contribute to operational reporting for the Group Facility Manager.
- Participate in budget monitoring and cost optimization related to facility management and installations.
- Place orders for small equipment and approve invoices.
F. Project Participation and Continuous Improvement
- Participate in space planning, renovation, transformation, or optimization projects.
- Coordinate logistical operations (moves, internal relocations, various interventions).
- Propose initiatives focused on operational efficiency, sustainability, and continuous improvement.
Who are we looking for?
Education & Qualification:
- Master’s degree in Facility Management or equivalent experience
- Knowledge of building systems (HVAC, electrical, infrastructure) and Belgian regulations
- Proficiency with facility management tools and standard office software
- Fluency in French and Dutch; operational English preferred
Experience:
- Proven experience in Facility Management or a similar multisite operational role
- Practical experience managing building systems, maintenance, and infrastructure
- Experience coordinating external contractors and service providers
- Experience working with internal stakeholders in an operational, service driven environment
